THE CHALLENGE

The School Visitor Check-in (SVCI) platform plays a critical role in supporting visitor safety, contractor compliance and operational governance across NSW public schools.

With millions of annual visitor and contractor check-ins, schools relied on multiple systems and manual validation processes to confirm compliance requirements. These processes increased administrative effort, created operational inefficiencies and limited visibility of compliance outcomes.

The platform also required technical modernisation to improve maintainability, reliability and scalability, ensuring it could continue supporting one of the largest education environments in Australia.

WHAT ARGENTI DID

Argenti partnered with the NSW Department of Education as an end-to-end technology delivery partner, providing solution architecture, business analysis, application development, integration services, DevOps and ongoing enhancement support.

Working closely with the Department, Service NSW and external compliance providers, Argenti integrated the platform with eCPC and FMWeb to automate visitor and contractor compliance checks directly within the check-in experience.

The team modernised the application's architecture through a migration from Vue 2 to Vue 3, improving maintainability, security and future supportability.

Additional enhancements included streamlined visitor workflows, improved contractor verification, enhanced form validation, more reliable kiosk and label-printing capabilities, comprehensive audit history tracking and Terraform-based deployment automation across all environments.

OUTCOMES ACHIEVED

  • Enabled real-time compliance validation during visitor and contractor check-in
  • Reduced manual validation and administrative effort for school staff
  • Improved contractor verification and visibility through FMWeb integration
  • Introduced comprehensive audit histories supporting governance and compliance reporting
  • Modernised the application architecture to improve long-term maintainability
  • Reduced release risk through automated Terraform deployment pipelines
  • Improved consistency and reliability across development, test and production environments
  • Supported more than 14.8 million check-ins since platform launch
  • Processed more than 3.2 million visitor check-ins during 2025
  • Processed more than 1 million contractor check-ins during 2025
  • Delivered a unified experience across multiple compliance and operational systems

"By embedding compliance directly into the visitor check-in process, schools can focus less on administration and more on creating safe learning environments."
